Choose New Jersey is seeking a skilled and detail-oriented Events Coordinator to assist our Events Manager in planning and executing a wide range of impactful events. From high-profile international economic missions and trade shows to stakeholder meetings and familiarization tours, this role offers an exciting opportunity to support economic growth in New Jersey.
Responsibilities:
- Coordinate the administrative aspects of Choose New Jersey events, including timelines, briefing documents, logistics, reservations, expense tracking, and invoice management.
- Maintain and update documentation for all events attended by Choose New Jersey and our international offices.
- Serve as a secondary contact to facilitate clear communication with government agencies, vendors, sponsors, collaborators, and delegation participants as needed.
- Manage event timelines and ensure timely event preparation, including developing and monitoring event budgets.
- Facilitate post-event evaluation and budget close-out procedures.
- Manage inventory and organization of event supplies, ensuring accurate stock levels, organized storage, and regular audits.

- Proficiency with Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel.
- Project Management software experience (Asana or Monday.com) is a plus.
- Experience with online ticketing platforms such as Eventbrite is a plus.
Experience:
- Minimum of 3 years of event planning and project management experience is required.
- International event planning experience is preferred.
- A bachelor’s degree in business administration or a related field is preferred.
Additional information:
- This position could require travel. A valid driver’s license, access to an automobile, and passport are required.
- Authorization to work in the United States is a precondition of employment.
- Physical requirements of this position include sitting at a desk over 90% of the time. Breaks to stand and stretch can be taken as needed. When traveling, the employee may be on flights that require sitting continuously in confined spaces. - The work schedule is expected to be a minimum of 20 hours per week and up to 40 hours per week, depending on the event schedule. The employee will be given advance notice of expected schedule changes.
- Proof of business insurance may be required.
Compensation:
Choose New Jersey will offer the successful candidate a competitive wage aligned to their education, years of experience, and skill set. As this is a contract and/or seasonal hire, the per-hour rate for the successful candidate is $21 – $28. Our expectation is that this consultant will conduct themselves as an independent contractor and invoice Choose New Jersey for their time each week.
